Automation That Starts With How You Actually Work

Plenty of tools promise to automate your business from a demo and a subscription. We specify automation the slow way - on your site, watching the real workflow - so what gets built removes work instead of adding another system to babysit. You own every piece of it.

Why we look before we build

Automating a broken process gets you a faster broken process

The pattern we see in small businesses is consistent: software bought to save time, quietly generating admin of its own. A job platform here, an accounting package there, a spreadsheet holding the two together - and someone retyping the same customer details into each of them.

So the first step is never a tool recommendation. It's observation - on your site, watching where hours actually go. Some of what we find gets automated. Some just gets removed. The difference matters, and a demo can't tell you which is which.

Most builds connect the software you already pay for rather than replacing it. Job management platforms, Xero and MYOB, calendars, and CRMs all expose connection points - the data starts flowing between them, and the retyping stops.

Where to start, what to expect, and what to avoid: our small business owner's guide to AI & automation covers the ground in plain language.

What we automate

The admin that eats an operator's week - quoting to cash, lead to booked job

01

Quoting & invoicing

Quotes generated from a pricebook instead of memory, invoices raised the moment a job closes, and reminders that chase late payers so you don't have to. How invoice automation works.

Pricebooks Progress claims Payment reminders
02

Lead handling & follow-up

Every enquiry captured, logged, and answered - including the ones that arrive while you're on the tools. Follow-up sequences that run on schedule instead of when someone remembers.

Enquiry capture CRM Follow-up
03

Scheduling & job flow

Bookings, job cards, and crew schedules that update each other. When a job moves, everything downstream moves with it - no phone tennis, no whiteboard rewrites.

04

Data between systems

The integrations that end double entry: job platform to accounting, forms to CRM, timesheets to payroll. Entered once, correct everywhere.

Integrations Sync Clean data
05

Reporting & dashboards

The handful of numbers that actually run the business - cash position, pipeline, job margins - on one screen, updating themselves instead of waiting for month-end.

Cash visibility Job margins Live dashboards
06

AI where it earns its keep

Drafting responses, summarising job notes, categorising documents - applied to specific tasks with a measurable payback, and skipped where a simple rule does the job. Choosing the right approach.

1

Diagnose on-site

The Undertow Assessment ($5,000, fixed) maps where the hours go and ranks every automation candidate by payback. If you'd rather start smaller, a free 15-minute call is enough to gauge fit.

2

Scope in writing

Each build is specified and priced before it starts - what it does, what it costs, what it saves. The scope document we work from is published on this site.

3

Build and hand over

Built against your real workflow, tested with the people who'll use it, documented, and handed over in your name. Training included - the system that needs us hovering is a system we built wrong.

4

Support if you want it

Ongoing support is $2,000 a month, month to month - improvements, adjustments, and a direct line to someone who knows your setup. Optional, always.

Fees are GST-free - we're not currently registered for GST.

Common Questions

Straight answers about how this works

Do you use off-the-shelf tools or build custom?

+

Whichever fixes the problem for the least money.

Whichever fixes the problem for the least money. Often the right answer is connecting the software you already pay for - your job management, accounting, and calendar - so data stops being retyped between them. Custom builds are for the gaps that off-the-shelf genuinely can't cover. We tell you which is which before anything is priced.

Who owns what you build?

+

You do.

You do. Systems, code, accounts, documentation - all of it sits in your name from day one. If we stopped working together tomorrow, everything keeps running and any competent developer can pick it up. Nothing is rented back to you.

What does automation cost?

+

Build work is custom-priced and scoped in writing before it starts - no open-ended hourly surprises.

Build work is custom-priced and scoped in writing before it starts - no open-ended hourly surprises. Most clients start with the Undertow Assessment ($5,000, fixed) so the automation list is built from observed fact, prioritised by payback. Ongoing support after a build is $2,000 a month, month to month.

Can you work with the software we already use?

+

Almost always.

Almost always. Job management platforms like simPRO, Tradify and ServiceM8, Xero and MYOB, Microsoft 365 and Google Workspace, and most CRMs expose connection points we build against. Keeping your existing tools is the first option we test - replacing software is a last resort, not a sales strategy.

Which areas do you cover?

+

The Sunshine Coast from Caloundra to Noosa including the hinterland, plus Brisbane.
